Summary: The focus of this position is to provide Project Management for Application migrations, Email migrations, and Office Integration projects for Technology.
Top Requirements:
1) Project Manager Systems Experience (MS Project, MS Excel, MS Planner, Smartsheet)
2) Experience with migrations – application, OS, data center. Have they worked with stakeholders? Can they communicate during down time? Things hiring manager will be looking for on resume review. If they have had to change a system from one state to another or upgraded systems this matches our goal to effectively manage change.
3) Must be comfortable with technical terms and have experience working with technical teams.
Need To Have: Have worked on email migration--onboarding to O365, MS Teams, SharePoint projects. This person will work closely with email migration integration engineers- create office timeline, this is how you can prepare, what to expect on their weekend integration transfer, how we provide support. Will also guide the clients! Training experience, being comfortable on video, will be screen sharing. We will train on how to do it but must be comfortable with public speaking. This Candidate will be planning and meeting with clients regularly. Responsibilities include overseeing an over-arching Integration project, working within the team to determine and communicate execution dates, status and generally keep the project and all meetings focused and on task. Determining access to offices, directing travel plans for the traveling Engineers and willing to work nights and weekends as required to bring the project to conclusion.
Soft Skills: 1) Communication—able to switch between technical discussions with engineers and clear messaging for end users. Must deliver exceptional service to high-end clients. Additionally, candidates should demonstrate flexibility, a growth-oriented mindset, and adaptability to change.

Day to Day: 30 min standup with Engineers, talk about equipment questions / outstanding items that remain. Then if there's a new acquisition get on a call " HI I'm the Project Manager with the Integration Team and I'm here to review how the email migration will take place. We could be meeting virtually with clients to review more itinerary -- there's an electrician scheduled to come tomorrow at 9 AM etc. Then they would follow up with NetOps and Core Engineering team (internally) to ensure we were all set up for that office. They could potentially be leading trainings and must screen share so please make sure they are open to that!

Duties and Responsibilities:
- We are a dynamic and growing company. We are acquiring firms throughout the US, Canada, Ireland and the UK.
- We are looking for someone with Project Management experience working with Technology Teams to assist us with our rigorous Office integration schedule. When a firm is acquired, they operate on their own Network and technology platforms. Our goal is to get the hardware, software, and technology infrastructure integrated with us so that we can become the Managed Service Provider. This position plays an essential part in the success of the Integration process. We need someone to understand how to work with Technology professionals and be able to speak their language. This role will occasionally travel to assist with large projects.
PM responsibilities
- Review the Email migration process with new acquisitions and verify Employee rosters.
- Work with the engineers to keep track of email migration tasks and identify risk.
- Use Office Timeline and Power Apps to provide project status and reporting to customers.
- Coordinate internal and client meetings, including agenda creation, meeting minutes management, and action item tracking.
- Collaborate with project team members to support the Application Migration Project by participating in User Acceptance Testing, Quality Assurance Testing, and overseeing the management of Application Packaging workstreams.
- Assist with tracking equipment deliveries.
- Coordinate with the Facilities team in reviewing office construction timelines and coordinate move itineraries with engineers and firm contacts.
- Act as a point of contact for Engineers to quickly mitigate project issues
- Coordinate travel arrangements for Engineers and coordinate office move logistics with Site contacts.
- Manage Email migration projects, which include updating project plans.
- Conduct Email migration and Cloud training seminars via Teams Videoconference
- Hold regular meetings with Engineers to decide progress and address challenges.
- Aid with complicated project problem resolution. Catalog and track issues with RAID Logs, provide status updates to management, and ensure a solution is formulated.
- Provide project updates to various stakeholders about strategy, adjustments, and progress.
- Register vendors for electronic payments, manage invoices, and track payments.
- Update project documentation which includes Deployment guides, Engineer checklist, Service Now Request, and Procedural Manuals
- Work with Site contacts to coordinate Electronic Disposals and support Inventory and Data Sanitation records.
- Work with various teams to ensure that team processes are current.
Knowledge, Qualifications, Skills, and Ability:
- Strong ability to organize and manage multiple tasks utilizing time management skills
- Must be comfortable on Videoconferences.
- Must be able to write clearly and comfortable with tools such as Calendly and Grammarly
- 8+ years' experience in managing technical projects. It's a plus if the candidate has PM experience with upgrading and deploying Microsoft Windows operating systems, Windows Server, Active Directory, Networking, and Application upgrades/migrations.
- Works effectively with all levels of the technology team, end-users, management, and 3rd party vendors
- Excellent verbal communication skills, assertive presence, and strong customer service focus
- Ability to handle high-pressure situations in a professional manner.
- Ability to work with a Distributed team and communicate with team members effectively.
- Project management experience with managing Exchange, O365 migrations, moves, office decommissioning projects is a plus.
- Strong Microsoft Office skills with Outlook, Excel, and Word. MS Project, MS Planner, Visio, and PowerPoint expertise are a plus.
- Strong familiarity with project management tools, methodologies, and best practices
- Knowledge of Smartsheet, ServiceNow, and Office timeline is a plus.
- Must be confident with public speaking.
- Must be able to work effectively at home and with a distributed team.
Education:
- Four-year bachelor's degree. A degree and training in a technology-related field is a plus.
- Eight+ years' experience in Project management with a technical team
- Eight+ years' experience managing infrastructure projects as primary Project Coordinator/Manager
